What Does a Sourcing Agent Actually Do?
If you've looked into importing from China, you've probably seen the term "sourcing agent" thrown around. But what does a sourcing agent actually do day-to-day? And more importantly — do you need one?
Here's a straightforward breakdown from someone who does this work.
What a Sourcing Agent Does
A sourcing agent is your representative inside China. We handle the parts of importing that are difficult or impossible to do from overseas:
1. Supplier Finding & Vetting
You tell me what you need. I find 3-5 factories that can make it, then vet them:
- Visit the factory in person
- Verify business licenses and certifications
- Check production capacity and equipment
- Assess quality control systems
- Review their export history
You get a shortlist of verified options with my recommendation — not 500 Alibaba listings to sort through yourself.
2. Price Negotiation
I negotiate in Chinese, face-to-face, with full knowledge of local market prices. This means:
- I know when a price is inflated vs. fair
- I can push for better terms without damaging the relationship
- I understand which costs are negotiable (tooling, packaging) and which aren't (raw materials)
Typical savings: 10-25% compared to the first quote you'd get as a foreign buyer.
3. Sample Management
I coordinate the sample process:
- Communicate your exact specifications to the factory
- Review samples before they ship to you (saves 2-3 weeks if revisions are needed)
- Document any issues with photos and measurements
- Manage revisions until the sample meets your standards
4. Production Monitoring
Once you approve samples and place the order:
- I confirm the production schedule
- Check in at key milestones (materials received, production start, mid-production)
- Flag any delays or issues immediately
- Send you progress photos
5. Quality Inspection
Before your goods ship, I inspect them:
- On-site at the factory, not from photos
- Using AQL sampling standards
- Checking against your approved sample
- Documenting everything with photos and a written report
If something fails inspection, I negotiate with the factory to fix it — before it leaves China.
6. Logistics Coordination
I handle the export side:
- Arrange freight (sea, air, or express)
- Ensure proper packaging for international shipping
- Coordinate customs documentation
- Track shipment until it reaches your port
When You Need a Sourcing Agent
You probably need one if:
- You're placing your first order from China
- Your order is $2,000-$50,000 (too small for your own office, too large to risk)
- You've been burned by a supplier before
- You need custom/OEM products (not off-the-shelf)
- You can't visit China yourself
- You're sourcing from a new product category
When You Don't Need One
You probably don't need one if:
- You're buying standard products from a supplier you've used for years
- Your order is under $500 (agent fees won't make economic sense)
- You have your own team in China
- You're buying from a large, established exporter with a track record
How Much Does It Cost?
Sourcing agents typically charge one of these models:
- **Commission**: 5-10% of order value (most common)
- **Fixed fee**: $200-500 per order for smaller projects
- **Retainer**: $1,000-3,000/month for ongoing sourcing needs
The math usually works in your favor: if an agent saves you 15% on pricing and prevents one quality disaster, they've paid for themselves many times over.
